It's about the worst weekend to have a member meeting…considering all the ancillary stimuli and things that'll be needed. None the less, yeah I'll show up. That should come as no surprise. Nothing in the AFM is what it seems it is...

I would think that this event is designed to attract more members than usual to a central location. So it's an ideal time to have a members meeting?

Hopefully there will be a good number of members who decide to turn up :teeth

Agenda

This the rough outline I am thinking about

7pm Intro go over format and what is expected/not allowed. No bashing or bitching :) Lets keep it productive
7:05pm - 7:45pm Open Mic for any member who has a genuine question/suggestion for the AFM. Discussion of suggestions (If there are only a few suggestions ect then we can finish early)

7:45pm Summary of meeting (unless the majority of members want to extend the meeting)

8pm Close meeting

My $0.02:

I'd probably use the agenda you started in the other thread as the starting point for the conversation after the intro. That may be enough for a full hour depending on how much people would like to comment and will likely help keep things constructive in nature.

I don't think there will be anyone on hand to answer questions in an official manner and probably isn't fair to put any of the BoD who happen to shop up on the spot. Of course if someone from the BoD would like to contribute that would be cool.

I was going to introduce those topics or have the members who suggested them to me introduce them. I dont want all the time to be taken up discussing a single topic so thats why i wanted to limit the time on each subject until all the subjects are covered.
If members want to discuss a particular subject in more detail then we could revisit it. I really dont think folks want this to go for more than an hour. If 2 people are left at 8pm arguing over a particular point we can lock them in :)
If there are 20 + members left at 8pm then we can stay later :thumbup

Friday night Tech or at least availability of Tech Slips.

Problem with that is Tech folks all have "regular" jobs so trying to get them there on a Friday evening would be problematic. Timing and scoring personnel would be in the same boat. Not sure how the Tech slips could make it to the track and be distributed correctly on a Friday evening?

Happy to add the suggestion to the list to see how many other members would like the same thing :thumbup

Email tech slips. Pay per early tech.

Flip the practice group ordering. 54321. Noobs need more time to setup in the morning

Sorry, flinging a bunch hoping something sticks :D

Good on you for organizing it Alan. It was a VERY busy weekend, but well worth spending the time with you guys at the meeting. Any further questions, you know where to find me...

This was a very productive meeting, only lasted an hour, and there wasn't any cat fighting like I heard from others that didn't show up. If you had a question about something, you should have come voice yourself.

I offered to help in any way I can, as a non-board member, non-paid volunteer. The powers be know how to get ahold of me if they would like to discuss anything.

Thanks again Alan for putting this on, even with the heckling and negative comments you received. You even handed out flyers about it during Saturday's events. I can also vouch that I didn't see any beer/alcohol in Alan's hands all weekend. :thumbup

Alan, thank you for putting this on and taping the meeting. I felt the meeting was productive and a great exchange for everyone in the room.

This is OUR club, the oldest and most prestigious racing club in the United States, let's all do our part and make it even better.

Please let me know if there is anything I can do for you in the future or what information I may be able to provide to you or the membership.

I didn't say anything in the meeting (I think I was the only one) but I enjoyed being there and hearing the discussion. Thanks, Alan, for organizing and extra thanks to the board members that came. It was good to hear you explain the reason why things are the way they are even if some people don't like it.

As I said in the meeting, and the one thing that I'd really like to resonate with EVERY SINGLE MEMBER: The best thing you guys can do for the club as members is to get 1 person to race with us ever few years. If every member did this every 3 years we'd rebuild the club at a near 50 member a year increase from previous year numbers. That would be HUGE. That means taking their hand, bringing them to the track and acting as their custodian/ chaperone for the weekend. YOU will be their AFM Mentor. I had 1 this weekend who had a great time and got an old friend to come back…who had a great time as well. It was a great time for all of us.

Those who say they cannot do this or won't do this, please…find a way TO do this. There's nothing more important. Not one single thing, that a member can do for our beloved club.

I'll be making this message crystal clear and frequent this year…more frequent than I have in the past year. People always ask "what can we contribute"…THIS is what you can contribute: 1 NEW RACER. Bring them to the track, help them through their weekend, make them a racer friend for life.

Funny story that I'm sure we all have…my first race weekend, I met my forever more pit mate Dave Glenn. We pitted together for darn near 10 years. He took a break a few years back but comes around to hang out and seeing him this weekend was awesome. I see the same story all over with different people…but overall, that's what we have to sell in the AFM. That kind of relationship that makes life worth it…

:thumbup:thumbup To add to this we should work on retention making the clubman/novice riders feel more like they are part of the AFM family. I talked with quite a few Saturday who were on their own on the "outskirts" of the paddock with no help and no other racers around. Maybe the "mentor" program should be "forced" on new racers? :teeth

I'm not a fan of "forcing" anything…I am a fan of encouraging experts to help a clubman guy out, if they can. The TD providers can help a bunch by pairing up existing racers with their NRS graduates. PTT does a good job of this as we can see in the pits. Z2 and Keigwins are good, but with a different approach. I'll see if I can bug Shawn/ Dave about something here…can someone bug Lance?

Maybe it is something that would be better handled by the club? Start a sign up list for racers who would be willing to help a novice, then pair a novice to a racer. I know that really helped me in my first season :thumbup Then monitor it, easily falls under the current mentor program.

I dont like "forced" either, that is why is was in " " mark's :) Required?
